These Terms and Conditions (“Terms”) govern your use of the UK Certified Translation website and services. By accessing our website, submitting an enquiry, placing an order, or using our services, you agree to be bound by these Terms.

1. About Us

UK Certified Translation (“we”, “us”, “our”) is a professional language services provider offering certified, sworn and notarised translations, transcription and interpreting services through a network of qualified linguists and subject-matter experts.

2. Scope of Services

We provide the following services:

  • Certified translation
  • Sworn translation
  • Notarised translation
  • Interpreting (remote and on-site)
  • Transcription services

All services are delivered in accordance with UK legal and professional standards. Acceptance of translations is subject to the requirements of the receiving authority.

3. Quotes, Orders & Acceptance

3.1 Quotations

  • All quotes are provided based on the documents, word count, format, language pair, urgency and service type.
  • Quotes are valid for a limited time and may change if document scope or requirements change.

3.2 Order Confirmation

An order is deemed accepted once:

  • You confirm the quotation in writing, and
  • Payment (full or partial, where applicable) has been received.

4. Pricing & Payment

  • Prices are stated in GBP (£) unless otherwise specified.
  • Payment must be made in full before work commences unless agreed otherwise in writing.
  • We accept payments via the methods listed on our website.
  • Any additional services requested after order confirmation may incur extra charges.

5. Refund & Cancellation Policy

⚠️ Important – No Refund Once Work Has Started

  • Once work has commenced on your order, refunds are not available under any circumstances.
  • This includes, but is not limited to:
    • Translator allocation
    • Formatting and layout preparation
    • Translation, revision or certification work
    • Notarisation or sworn declarations

If you cancel before work has commenced, a refund may be considered at our discretion, minus any administrative or processing fees already incurred.

6. Turnaround Times

  • Turnaround times are estimates and begin once payment is received and all required documents and instructions are provided.
  • Delays caused by incomplete files, late responses, or changes in scope are not our responsibility.
  • Express or urgent services are subject to availability.

7. Accuracy & Quality Assurance

  • Translations are completed by qualified linguists with relevant subject-matter expertise.
  • All certified, sworn and notarised translations include appropriate statements, stamps and signatures as required.
  • While we strive for 100% accuracy, minor stylistic differences or interpretation nuances do not constitute grounds for refund.

8. Client Responsibilities

You agree to:

  • Provide clear, legible and complete documents
  • Confirm requirements with the receiving authority where necessary
  • Review drafts (if provided) promptly
  • Notify us immediately of any errors or concerns

We are not responsible for issues arising from unclear, incorrect or incomplete source material.

9. Acceptance by Authorities

  • Acceptance of translations depends on the specific authority, institution or jurisdiction.
  • We cannot be held liable if an authority changes its requirements or rejects a document for reasons outside our control.
  • We strongly advise clients to verify requirements before placing an order.

10. Confidentiality & Data Protection

  • All documents are handled securely and confidentially.
  • We comply with UK GDPR and data protection regulations.
  • Documents are shared only with linguists and professionals directly involved in your project.
  • You may request deletion of your data after project completion, subject to legal retention requirements.

11. Intellectual Property

  • Translated content remains your property once full payment is received.
  • We reserve the right to refuse work involving unlawful, misleading or offensive material.

12. Interpreting Services

  • Bookings are subject to interpreter availability.
  • Cancellations may incur charges depending on notice period.
  • No-shows or late cancellations may be charged in full.

13. Limitation of Liability

To the fullest extent permitted by law:

  • Our liability is limited to the value of the service provided.
  • We are not liable for indirect, consequential or third-party losses.
  • We are not responsible for missed deadlines or outcomes caused by external authorities.

14. Complaints & Revisions

  • Any concerns must be raised within 7 days of delivery.
  • We will review and, where appropriate, correct genuine errors free of charge.
  • Requests outside the original scope may be treated as new work.

15. Force Majeure

We are not liable for delays or failure caused by events beyond our reasonable control, including but not limited to natural disasters, system failures, strikes or legal restrictions.

16. Governing Law & Jurisdiction

These Terms are governed by the laws of England and Wales.
Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

17. Changes to These Terms

We reserve the right to update these Terms at any time. The latest version will always be published on our website.
